Step 1: Seen a property that you like? Contact us to arrange a viewing.

Step 2: Reserving the right to the property

Should you wish to secure the property you have just viewed, we will ask you to complete out “tenant application form”.

Once all the application forms have been processed we will be passing on the eligible one over to the landlord(s) to review.

Once your application has been accepted, you will receive an email confirmation with the required information including requesting a holding deposit (fee) which is equivalent to one week’s rent for the property in question in order to primarily reserve the property (STC) whilst the referencing process is in progress.

Please note that the holding deposit will be non-refundable in situations where you withdraw your application or fail the referencing based on having provided false information, otherwise this amount will be deducted from your first month’s rent.

Once the referring is complete and all proceed-able, as part of our due-diligence, we will be required to carry out an identification check in person which will require all named tenants in question to visit our branch with a valid photo ID prior to moving in.

Note all lets are agreed subject to reference and contract.
 

Step 3: Credit and Reference Check

We have partnered up with a company called “HomeLet” who carry out all our reference and credit checks on our behalf.

Once we submit your application through, they will be in contact with you directly so please keep an eye out and respond to the queries promptly to assure the referencing process will be completely seemingly and swiftly.

Overseas applicants will be required to present a visa/biometric resident permit

Self-employed or retired applicants will be required to provide proof of income (P60, tax return or pension statement) and a reference letter from accountants.

Guarantor referencing If applicants are students or will require a guarantor in order to pass the referencing, we will require guarantor details which will be passed on to HomeLet and they will too go through a full referencing so please make sure you have consulted with your guarantor prior to passing their details on.

Further more they will be sent a e-sign document through by us namely “Deed of Guarantee” which they will need to review and sign.
 

Step 4: Tenancy Agreement (Contract) & Payment request

Once all the referencing comes back as “Acceptable” you will be sent an e-sign tenancy agreement (legal contract) to review and sign, followed by the required payments prior to moving in to the property.

These are broken down as below:

Security Deposit:

5 weeks’ rent: applies to properties with annual rental payment of under £50,000

6 weeks’ rent: applies to properties with annual rental payment of over £50,000.

Once you have paid the security deposit, it will be registered within 14 days with our custodial scheme and you will receive a certificate by email to retain throughout your tenancy.

1st Month Rent: Your first month’s rent will be payable in advance (as per stated in your tenancy agreement).

As for your ongoing rental payments, you will be required to set up standing order to assure prompt payments are made every month.
 

Step 5: Move in process

As part of our compliance and duty of care, you will be sent several different documents some of which are for your reference and to be retained throughout your tenancy and also a peace of mind that all safety checks are complete and certificates obtained.

We take safety of all our properties and tenants very seriously and assure all compliance checks are throughly carried out as and when they are due.

Furthermore ahead of your move, a third party inventory company carries out the check in whereby the condition of the property is documented with pictures and notes and a full report is then sent out to you to compare against your own observation and make sure you are satisfied with everything. This report will need to be signed and sent back to us via e-sign.

Further all meter readings are reordered too so there are no discrepancies on who is liable to cover the bills (HMO properties excluded) later on.
 

Step 6: After care

Once you are at the property, you will be informed of all your utility providers and you will be required to register with them and provide the ingoing meter readings. If you are new to the tenancy process and need any assistance with this, our team will be able to provide support.

You will be expected to receive a welcome letter within two weeks of registering with them.
 

Maintenance Management:

Please note that if your property is managed by your landlord, we will make the introduction at the beginning of your tenancy and your landlord(s) contact details will be passed on to you as they will be entirely responsible to deal with any maintenance issues you may encounter throughout your tenancy.

For properties under our management, you will be sent an email through an integrated platform requesting you to register through it with your own unique log in details. We refer to this as “tenant hub”.

Any maintenance issues will need to be logged through the tenant hub so we can have a written record of it and your landlord(s) will also be kept in the loop throughout.

However for emergency maintenance issues, we do have a team at hand to address such issues urgently.

Step 7: Tenancy End

Around the last two months of your tenancy, we get in touch to see what your intentions are.

If you decide to move out at the end of your tenancy, we ask that you provide a minimum of one month’s notice in writing as per the terms of your tenancy agreement. You will then receive an email to inform you of the check-out process.

We reserve the right to advertise the property and conduct viewings in the meantime however will always provide 24 hours notice prior to any viewings and assure minimum disturbance is caused.

After your exit from the property, a check out inspection is carried out and if there are any countable damages caused directly by you, the repair/mending fees will be determined and proposed as a deduction from your security deposit otherwise your deposit will be directly paid back to you by the deposit protection scheme. You will need to agree and approve by an email sent directly from the deposit scheme.
